The Structural Flaw

A major telecoms data breach exposed customer details belonging to a state government transport authority. To protect the people affected, the authority had to reissue driver licences with brand new customer reference numbers (the unique ID an agency uses to tie a person's licence, vehicles and history together). Change that ID, and every linked record has to follow. The existing system was not built to do this at scale. Staff had to create each new ID by hand, then carefully merge it with all of the customer's historical data so nothing was lost or duplicated. Volumes were huge, the backlog grew every day, and every manual touch added another chance for a small mistake to detach a customer's history from their new record.

The Execution Engine

We built an automated workflow on top of the systems the authority already uses, so nothing underneath had to be rebuilt. The automation uses RPA (Robotic Process Automation, software that drives existing apps the same way a person would, clicking and typing across screens) to pull customer details from TICA, the authority's existing customer system. It then creates the new licence ID, merges it with the customer's existing record, and runs validation checks as it goes to make sure the old history stays cleanly attached to the new ID. Anything that doesn't line up is flagged for a human to review rather than silently saved. Once a record is updated, the customer is automatically notified through TICA and by email so they know their new licence is on the way.
