The Structural Flaw

A global hotel operator takes bookings across multiple sales channels, and every channel feeds rates into their systems a little differently. To catch the mismatches, front desk teams had to manually verify room rates three days before each guest arrived, cross-checking what was booked against what was loaded in the system. When they found a discrepancy they corrected it by hand, one booking at a time. That routine created two problems. First, it pulled front desk staff away from actual guest service for hours every week. Second, anything they missed surfaced at the worst possible moment, at check-in, in front of the guest, as a pricing argument. The process wasn't failing because people were careless. It was failing because the volume made manual verification unmanageable.

The Execution Engine

Blackbook AI deployed an RPA robot, a piece of software that operates the hotel's existing systems the same way a person would, logging in and pulling the same fields. Each day the bot collects guest arrival data for the next three days from the CMS (the content and booking management system), retrieves the matching booking details from the ERP (the core finance and operations system), and compares the room rates across both. Where it finds a mismatch, it updates the rate automatically, before the guest ever sees it. No new platform for staff to learn, no change to how bookings are taken. The manual check simply stopped being manual.
